Recruitment of a Team Assistant
2 years Term Appointment
World Bank Country Office, Freetown, Sierra Leone

The World Bank, the leading multi-lateral institution in global economic development, is currently recruiting a Team Assistant for an initial period of 1 year to provide full range of office support work, including managing processes and monitoring schedules related to their teams/units products and tasks. The Team Assistant is a member of the World Banks ACS Team recruited locally and posted in Freetown.

Position:

Team Assistants can work regularly and substantially in more than one language, to include translating/drafting a variety of standard documents, applying effective proofreading and grammar skills in English and other languages, etc.

Responsibilities:

o Drafts routine correspondence and proofreads materials using proper grammar, punctuation, and style.
o Incorporates agreed comments into documents, making full use of shared drives and software capabilities.
o Uses word processing or desktop publishing skills to produce complex text, reports, figures, graphs, etc., according to standard Bank formats and distribution.
o Coordinates schedules taking priorities into account, monitors changes, and communicates the information to appropriate staff, inside and outside the immediate work unit, including officials outside the Bank Group.
o Solves non-routine problems (e.g., responds to requests requiring file search, etc.).
o Assists in preparation and logistical planning for various events, e.g. conferences, workshops, negotiations, etc.
o In conjunction with and under guidance from the Executive Assistant and other staff in a specific discipline (i.e., Resource Management, etc.) monitor specific activities, (i.e., task budget, etc.) within their teams or clusters.
o Tracks assigned task/project steps/timetables, coordinates with relevant staff and provides assistance and/or information on project-related matters.
o Maintains current distribution lists, phone/address lists of project/product contacts, and distributes documents for the team.
o Maintains up-to-date work unit project and other files (both paper and electronic).
o Assists team or work unit by translating/drafting a variety of routine documents, applying effective proofreading and grammar skills in English and other languages.
o Assists operational specialists with selected tasks, including portfolio overviews and presentations
o Assist IT specialist in running the IT services, including providing support to staff in the operation of software packages.

Qualifications/Experience:

o Minimum Education: High School
o Minimum Years of Relevant Experience: 2
Language Skills: Strong proficiency in English is required.

Essential Specialized Skills/Knowledge/Competencies

o Applied knowledge of Banks organization, relevant business practice and procedures, including records management and filing procedures
o Proficiency in using advanced functions of Bank standard computer applications and adaptability to use state-of-the-art software
o Knowledge of and ability to execute business processes involving diverse and intricate work procedures related to the processing and production of assigned outputs  in a timely manner.
o Good knowledge of units business processes and procedures, and ability to make appropriate linkages in work requirements and anticipate next steps.
o Ability to retrieve reference materials from various sources (e.g., databases, IRIS or other filing systems, Joint Library, Internet, etc.).
o Effective time management and organizational skills.
o Demonstrated initiative and resourcefulness
o Committed team player with demonstrated inter-personal skills and ability to work effectively in a multi-cultural environment.
o Proficient English skills (verbal and written), including ability to draft routine correspondence and edit materials using proper grammar, punctuation and style.
o Ability to follow through on team priorities in the absence of the team leader and respond to requests for information.
o Ability to adapt to changing business needs by continuous learning/training
o Ability to produce high-quality work under pressure.
o Ability to pass relevant Bank Group tests in place at time of recruitment (e.g. English language, computer applications, etc.) as required.
o Passing score on language-specific speaking and writing tests, demonstrating a substantial level of fluency and ease of speech.
